Use bottom-up feedback

Create surveys using the question library

 

LoopNow enables administrators to create people surveys, also known as bottom-up feedback, in just a few steps. You can access our extensive, scientifically based catalog of topics and questions and define in the survey settings who will be asked about which topics, which people or groups can view the results, when the survey starts or ends, and whether reminders should be sent to participants.

Bottom-up feedback allows you to gather assessments from team members about their respective managers.

  1. To create a survey, go to "Manage Surveys" in the main menu on the left-hand side via the clipboard icon.
  2. Click on "+ Create Survey."

  3. Enter a title/name for the survey in the "360°" field and click "Next."

  4. Choose one or more pulse topics and questions from the library, or create your own (see next section) and then select them.

  5. Confirm your selection by clicking "Save change."

      IMPORTANT: The invitation text will be used as the body of the invitation email and can help prepare respondents for the survey in terms of content or inform them about the purpose of the survey.
        
  6. Enter the people or groups that are or include the managers about whom you want to collect feedback.

  7. Decide whether feedback should be anonymous (keep in mind the minimum threshold of required anonymous respondents).

  8. Choose whether the persons in the center (self-selection) or their managers (manager selection) should invite respondents from the start time of the survey. If someone is selected twice, they will still receive only one invitation.

  9. Decide whether managers should also do a self-assessment.

  10. Enter the users who are allowed to view the answers.

  11. Check the boxes to decide whether managers and/or their superiors are allowed to see the answers about the managers. This is a useful setting for employee reviews, among other things.

  12. Choose a schedule that suits your needs. We recommend setting a deadline. Use the "Fixed deadline" schedule for this purpose.

  13. Fill in the corresponding fields.

  14. Finally, save the survey as a draft (feedback request not active) or send it at the start date (feedback request active).

Introduce own topics & questions

In LoopNow, you have the option to store questionnaires that already exist in paper or other systems, or create a new survey yourself. If you're creating a new survey, consider whether you want to use open questions or questions with a numerical scale. We recommend using numeric scales such as a 5-star scale because they allow for comparisons between departments and measurement of changes over time.

Tip: You can create your own scales with numbers, stars, or text in LoopNow. When creating your own scales, remember to consider the color code (green for positive results, red for negative results). Please note that only one scale can be assigned per topic to ensure the evaluability of the results.

To create or adapt topics and questions, follow these steps:

  1. Navigate to "Edit Topics & Questions" in the main menu on the left side via the clipboard icon.

  2. Click "+ Add topic with questions" to create a new topic.

  3. Click the "People" button, enter the title of the topic, and click "Next".

  4. Use the settings icon to adjust the title and description of the topic, or to delete the topic.

  5. Click "+ Add question to [topic name]" to add a question or statement.

  6. Write the question for external evaluations, and then provide the same question in "I" form for the self-assessment that the person at the center will see.

  7. You can also fill in an optional description, and provide suggestions for improvement if needed.

  8. Adjust the translation if you want to output the survey in multiple languages.

  9. Confirm with "Save" and repeat the process to add more questions/statements.

  10. Finally, select the response/rating scale provided for the topic.

  11. Click "<- ALL TOPICS" to return to the topic overview.

Adjust Bottom-Up Feedback (survey)

If you want to adjust the survey, proceed as follows:

  1. Go to the "Manage Surveys" menu item and navigate to the survey overview.

  2. If needed, filter by "BOTTOM-UP".

  3. Access the settings view in one of two ways:

    • Option 1: Hover over the survey in the overview and click on the cogwheel icon that appears.

    • Option 2: Click on the survey and select the gear icon located in the upper area next to the title.

  4. You will now be able to view and modify the survey details.

  5. After making any desired changes, click "Save" to confirm them.

 

 

Answer to Bottom-Up Feedback (survey)

  1. You will receive an email inviting you to answer the survey.

  2. Click on the "ANSWER NOW!" button in the email, or check the Homehub to see which surveys are still open and which ones
    you have already answered. You can view and edit your answers in the Homehub until the deadline.

  3. Use the rating/response scales to answer the questions.

  4. If you want to provide an additional comment to the rating scale, or if the question requires a comment, enter it in the comment field.

  5. When you reach the end of the survey, you will see a message that says "Thank you very much!" if there are no more surveys to answer. If there are still surveys to answer, the message will say "Thanks a lot, keep up the good work!"

Depending on which authorization a user has (administrator and non-administrator), the variety of options for evaluation is limited.

For this reason, the following is divided into Every user and Administrator.

The basis for the evaluation is that the respective user is authorized to see the answers.


Administrator

Administrators have several starting points to effectively evaluate surveys. On the one hand, like everyone else on the profile of the person to granularly analyze each question with a trend over time. On the other hand, you can use the heatmap to get an overview and, for example, compare people from individual departments. Find out who the high performers of your company are.

Again, it is essential for the evaluation that the admin is authorized to see the answers.


Personal profile:

  1. Navigate to your desired person's profile via the magnifying glass icon in the main menu.

  2. Click on the "RESULTS" tab.

  3. Filter by "PERSONS."

  4. Select the survey.

  5. Directly select the topics and questions you want to view or evaluate. You can also limit the time frame if necessary.


Heatmap:

  1. Navigate to the heatmap by clicking on the graph icon in the menu.

  2. Filter the heatmap display by user characteristic (e.g., management or executive) or survey.

  3. The heatmap will show you the results of departments and the overall organizational result compared.

  4. Click on the department on the left where you want to contrast the people.

  5. Now you can view the evaluations of topics and questions about the people in the department as granularly as necessary.

 

Every user

  1. To view results about yourself, navigate to your own profile.

  2. To view results about a team member, click on their name in the "MY TEAM" tab on your profile and navigate to their profile.

  3. To view results about other people, enter their name in the search box after clicking on the magnifying glass icon in the main menu.

  4. Click on the "RESULTS" tab.

  5. Filter by "PEOPLE."

  6. If you are authorized to see the survey answers, you can find them under the respective topics.

  7. From here, you can evaluate the individual questions of the topics as granularly as necessary.

  8. From here you can granularly evaluate the individual questions of the topics.
